Position Summary
Precision Plumbing is seeking a highly organized and detail-oriented Project Assistant to support our Project Management team. This role is critical to the successful execution of projects, providing administrative and operational support to the Vice President of Construction and Project Managers.
The ideal candidate will have a strong background in construction administration, experience with industry-standard software, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Answer and direct incoming calls while handling inquiries professionally
- Provide administrative support to the Vice President of Construction
- Support Project Managers with day-to-day project coordination
- Develop and maintain strong relationships with General Contractors, vendors, and internal teams
- Manage and maintain project documentation, job files, and digital records
- Oversee Procore and ensure accurate project data and documentation
- Maintain bid schedules and assist with project setup (job initialization)
- File Notices to NC Lien Agent for applicable projects
- Request and manage Certificates of Insurance for clients, subcontractors, and vendors
- Compile and distribute safety documentation as needed
- Maintain job folders in ShareFile and ensure documentation is organized and up to date
- Print and manage construction drawings as required
- Coordinate permitting with appropriate county/city agencies
- Request, track, and organize submittals
- Schedule inspections and track completion
- Issue master agreements and work orders
- Manage subcontractor database
- Compile and distribute project close-out documentation
- Assist with blueprint and fixture schedule review, including material takeoffs and ordering
- Perform additional administrative and project-related duties as assigned
Qualifications
- Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
- Experience with Procore and Bluebeam required
- Strong knowledge of construction documents, including blueprints and fixture schedules
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Professional phone presence and customer service mindset
- Ability to multitask, prioritize, and work with minimal supervision
- High level of integrity, professionalism, and attention to detail
- Self-starter with a positive attitude and strong work ethic
- Ability to perform under pressure and manage multiple deadlines
- Maintain confidentiality of company and client information
Requirements
- High school diploma required; associate or bachelor’s degree preferred
- Minimum of 3 years of experience in an administrative role within the construction industry
- Current Notary Commission preferred or ability to obtain
